Payroll Management for a Growing Small Business in Sri Lanka

Building a Complete Payroll Function From the Ground Up

A growing Sri Lankan company was expanding its workforce but did not yet have a structured payroll function. As the number of employees increased, management needed a reliable system for salary processing, employee records, statutory obligations, and monthly payroll reporting.

Rather than hiring a dedicated payroll executive and building the entire function internally, the company partnered with Formix to establish and manage its payroll operation from the beginning.

Starting From Company and Statutory Registration

The engagement began with understanding the company’s existing structure and preparing the necessary payroll and employment administration framework. Formix supported the company through the relevant registration and setup requirements needed to establish a compliant payroll process.

This included organizing employee information, establishing payroll records, preparing salary structures, and setting up the processes required for ongoing statutory administration.

The objective was to create a payroll system that could continue to operate as the company expanded rather than simply processing the current month’s salaries.

Setting Up Employee Payroll Records

Formix organized the company’s employee information into a structured payroll system. Employee details, salary information, allowances, deductions, attendance inputs, leave information, and other payroll-related data were consolidated into the monthly payroll process.

This gave management a centralized view of its workforce costs while reducing the risk of relying on disconnected spreadsheets or manually maintained salary records.

Monthly Payroll Processing

Once the payroll structure was established, Formix took responsibility for the recurring monthly payroll process. The team coordinated salary inputs, reviewed payroll information, calculated applicable deductions and contributions, prepared payroll reports, and supported the company through the monthly salary cycle.

The process was designed to provide management with clear payroll information before salaries were finalized, creating an additional review stage and improving visibility over monthly employment costs.

Payroll and Employee Administration

The outsourced HR function also managed the company’s ongoing payroll and employee administration requirements. Formix coordinated payroll processes, maintained employee information, supported leave and attendance administration, and managed relevant HR documentation.

This created a centralized workforce administration structure, reducing the need for management to coordinate different providers for recruitment, payroll, and employee administration.

EPF, ETF and Statutory Administration

A key part of the payroll engagement was the administration of applicable statutory employment contributions. Formix supported the company’s EPF and ETF processes alongside its monthly payroll administration.

Under current Sri Lankan requirements, the minimum EPF contribution is 8% from the employee and 12% from the employer, while ETF is an employer contribution of 3% of monthly total earnings. These statutory calculations and related administration were incorporated into the company’s payroll workflow.

Payroll Reports for Management

Formix also provided structured payroll reporting so management could understand its monthly workforce costs rather than receiving only a final salary figure.

Payroll reports provided visibility over gross salaries, deductions, employer contributions, net salary requirements, and other relevant payroll information. This gave the company’s management a clearer foundation for budgeting and financial planning.

The Outcome

Formix established a complete payroll function for the growing Sri Lankan company, taking the business from payroll setup and statutory administration through recurring monthly salary processing and reporting.

The company gained access to a professional payroll function without having to build a dedicated internal payroll team, while management gained greater visibility and structure around employee costs and statutory payroll responsibilities.
