How an Australian Company Achieved 80% Cost Savings Through Remote Staffing in Sri Lanka

The Client

An established Australian mining company approached Formix with a clear operational requirement: establish a dedicated five-member administration team in Sri Lanka capable of supporting its Australian operations remotely.

The requirement was not simply to find five people who could perform administrative tasks.

The client required a properly structured operational team that could function as an extension of its Australian business. The team needed to work according to Australian business hours, follow the Australian working calendar, understand the company’s operational expectations, communicate effectively with the Australian team, and maintain the consistency and reliability expected from an international business.

At the same time, the client wanted to create this operational capability at a significantly lower cost than establishing and maintaining an equivalent five-member team in Australia.

This is where Formix’s remote staffing model became relevant.

The Challenge

The client had a straightforward business objective, but achieving it required considerably more than recruitment.

The company needed five suitable administrative professionals who could collectively operate as a reliable business function rather than five disconnected remote employees.

The recruitment process therefore had to consider multiple factors.

The candidates needed to have the appropriate administrative capabilities, communication skills, professional discipline, ability to work remotely, attention to detail and capacity to operate according to the client’s specific requirements.

There was also a critical operational requirement: the team had to work around the Australian business calendar and working schedule.

For an international company, simply hiring employees in another country does not automatically create an effective remote operation. Working hours, public holidays, communication practices, reporting structures, management expectations and workflow all need to be aligned with the client’s home-market operation.

The client therefore needed a partner capable of handling the entire process—from identifying suitable candidates through recruitment and assessment to building the final operational team.

Our Approach: Building the Team From the Requirement

Formix did not approach the requirement as a conventional vacancy-filling exercise.

We first reviewed the client’s operational requirements and understood what the five-member administration function needed to accomplish.

The requirement was then translated into a recruitment structure that allowed us to identify candidates according to the actual needs of the business.

This meant looking beyond CVs.

A candidate having several years of administrative experience does not automatically mean that the candidate is suitable for a particular international operation. The recruitment process therefore focused on whether each candidate could actually perform within the client’s required working environment.

Formix handled the recruitment process from candidate identification through final selection.

Assessment and Candidate Evaluation

One of the important components of the recruitment process was candidate assessment.

Candidates were not selected solely because their CV appeared suitable.

Formix conducted assessments designed to evaluate their suitability for the required administrative environment.

The evaluation considered areas such as administrative capability, communication, attention to detail, ability to follow instructions, professional judgement, responsiveness and overall suitability for working as part of an international operation.

This additional assessment stage allowed Formix to distinguish between candidates who merely appeared qualified on paper and candidates who demonstrated the capabilities required for the actual role.

The process created an additional layer of quality control before candidates were presented for final consideration.

Shortlisting the Right Candidates

Following recruitment and assessment, Formix shortlisted candidates who demonstrated the strongest alignment with the client’s requirements.

The objective was not to find five candidates as quickly as possible.

The objective was to identify five people who could collectively form a dependable administration operation.

The final selection therefore considered both individual suitability and team suitability.

Each person needed to be capable in their own role while also functioning effectively within the wider five-member team.

This distinction was important because the client was not purchasing five individual employees.

The client was establishing an operational function.

Building a Five-Member Dedicated Team

Once the candidates were selected, Formix coordinated the establishment of the five-member team.

The team was structured specifically for the Australian mining company’s requirements rather than being placed into a generic shared-service model.

This provided the client with a dedicated operational resource capable of working directly around its business requirements.

The team became an extension of the client’s operations in Sri Lanka.

This model allowed the Australian company to maintain its required operational structure while locating the administration function in a significantly more cost-efficient labour market.

Australian Working Hours and Calendar

A major part of the implementation was alignment with the client’s Australian operating schedule.

The Sri Lanka-based team was structured to work according to the client’s required Australian business hours.

The team also followed the relevant Australian working calendar required by the client.

This meant that the remote operation was designed around the client’s business rather than forcing the client to adapt its workflow around an offshore team.

For the Australian management team, this created a more seamless operating environment.

The Sri Lanka team was available when the Australian operation required it, enabling communication, task allocation, coordination and administrative support within the client’s normal operating framework.

Remote Staffing Without Compromising the Operating Model

One of the misconceptions surrounding remote staffing is that it necessarily means accepting a completely different operating model.

This case demonstrates the opposite.

The client did not have to redesign its administration function simply because the team was located in Sri Lanka.

Formix structured the remote staffing operation around the client’s existing requirements.

The location changed.

The operating objective did not.

The client received a dedicated team capable of working according to its required schedule, supporting its Australian operation and functioning as an extension of the organisation.

The Formix Role

Formix’s involvement extended beyond introducing candidates.

We managed the recruitment and selection process required to establish the team and supported the client in creating the operational structure required for the Sri Lanka-based workforce.

This created a single point of coordination for the client rather than requiring the Australian company to independently manage every stage of sourcing, candidate assessment and workforce establishment.

The result was a more structured route from workforce requirement to operational deployment.

The Financial Impact

The most significant measurable outcome was the cost efficiency achieved through the Sri Lanka-based model.

By establishing the five-member administration operation in Sri Lanka instead of maintaining an equivalent operation in Australia, the client achieved approximately 80% cost savings.

This represents a substantial reduction in the operating cost associated with maintaining the required administration function.

However, the financial saving was only one part of the value delivered.

The client also obtained:

– A dedicated five-member administration team
– Recruitment managed according to the client’s requirements
– Candidate assessments before selection
– A workforce structured specifically for the client’s operation
– Alignment with Australian working hours
– Alignment with the client’s Australian business calendar
– A Sri Lanka-based operational extension of the Australian business
– Reduced recruitment and workforce establishment burden
– A substantially lower operating cost

The important point is that the client did not achieve the 80% saving by simply paying less for five individuals.

The saving came from establishing the same required operational capability through a different workforce model.

The Business Result

The Australian mining company was able to establish the administration capacity it required without carrying the cost structure associated with maintaining an equivalent five-member operation in Australia.

The company obtained a dedicated Sri Lanka-based team capable of supporting its Australian operation according to its required schedule.

From a management perspective, the result was a combination of operational capability and financial efficiency.

The company obtained the people it needed, working when it needed them, within the operating structure it required, while achieving approximately 80% cost savings.

That is the difference between simply outsourcing tasks and strategically establishing a remote operation.

What This Case Demonstrates

This case demonstrates that international remote staffing is not simply about reducing employment costs.

For the right business, it can provide a mechanism to establish a dedicated operational function in another market while maintaining alignment with the working standards, schedule and structure of the company’s home operation.

The Australian mining company did not approach Formix with the objective of finding “cheap labour.”

It approached Formix because it needed a five-member administration operation that could support its Australian business.

Formix recruited the required personnel, assessed candidates, structured the team around the client’s requirements and aligned the operation with the Australian working environment.

The result was a dedicated Sri Lanka-based administration operation delivering the required capability at approximately 80% lower cost.

The Bigger Picture

For international companies evaluating Sri Lanka as an operational destination, the opportunity is not limited to individual remote employees.

Businesses can establish dedicated teams across administration, finance, customer support, HR, technology, procurement, back-office operations and other functions while maintaining alignment with their international operating requirements.

The objective is not simply to move work to another country.

The objective is to create an internationally aligned operation in Sri Lanka.

That is the model Formix delivers.
