The Complexity of Hotel Payroll

Hotel payroll is different from payroll for a small office-based business. Employees can work across multiple departments, shifts, schedules, and operational functions, while payroll inputs can change according to attendance, leave, allowances, overtime, and other employment conditions.

The hotel therefore required a payroll process capable of bringing together information from across its workforce before producing an accurate monthly payroll.

Formix worked with the hotel’s management and relevant departments to establish a structured flow of payroll information and validation.

Centralizing Payroll Information

Formix consolidated the information required for monthly payroll processing and established a consistent workflow for receiving, reviewing, and processing payroll inputs.

Employee information, salary structures, attendance-related inputs, leave information, applicable allowances, deductions, and other payroll components were incorporated into the monthly process.

This created a centralized payroll workflow that could accommodate the complexity of a large hospitality workforce while giving management greater visibility over payroll information.

High-Volume Monthly Payroll Processing

The scale of the hotel required payroll processing to be handled through a disciplined monthly cycle. Formix coordinated payroll inputs, performed validation checks, calculated applicable deductions and employer contributions, and prepared payroll reports for management review.

The process included multiple stages of checking before the final payroll was completed. This was particularly important for a large workforce, where even a small process error could affect multiple employees.

EPF, ETF and Statutory Payroll Requirements

Formix incorporated applicable Sri Lankan statutory requirements into the hotel’s payroll process, including EPF and ETF administration.

The current minimum EPF contribution is 8% from the employee and 12% from the employer, while ETF is an employer contribution of 3% of monthly total earnings. Formix incorporates the applicable statutory calculations and payroll administration into the monthly process.

For larger employers, statutory administration also requires disciplined reporting and timely processing, making payroll governance an important part of the overall engagement.

Payroll Reporting and Management Visibility

The hotel required more than accurate salary processing. Management also needed clear payroll information to understand workforce expenditure across its operation.

Formix provided structured payroll reports covering relevant salary, deduction, contribution, and net-pay information. This allowed management and finance teams to review payroll before completion and maintain better visibility over employee-related expenditure.

Confidentiality and Payroll Control

Payroll information contains highly sensitive employee and financial data, making confidentiality and controlled access essential. Formix maintained structured payroll processes around employee information and limited payroll handling to the relevant personnel involved in the engagement.

This created a more controlled environment for managing salary information while allowing the hotel’s management and finance functions to access the information required for payroll review and financial planning.
